Export Folder structure

We had included a new feature in Globodox (version 5.1.0.5) which allows you to export folders along with their sub folders and documents to any destination on your local disk.

Using this feature you can supply documents to your regulator or clients in a format that doesn’t need any third party software and retains a simple structure that they can follow.

This is how it works…

  1. Select Folder structure that you want to export in the Navigation pane.
  2. Right click the Folder and select the Export Folder option. The Export Folder dialog will be launched.ExportFolders
  3. In the Select a folder to export to box, click the Folder icon to select the location to export the Folders.
  4. Check the Include sub-folders option to export the sub-folders of the selected folder.
  5. Click the Double Arrow button to view the Advanced Options.
    Merge Folders: Check this option to merge the sub-folders of the selected folder. In this case only the documents of the selected folders and its sub-folders will be exported.
    Export only folder structure: Check this option to import only the folder structures and not the documents.
  6. Click the Export button to export the selected folder. The selected folder will now be exported.

New Update (v5.1.1.4) Released

We have now released Globodox v5.1.1.4 and Sohodox v5.1.1.4.

This update handles PDF files much better than earlier versions. Now, you won’t have any problems while viewing large PDF files as they will now load much faster. Tasks like annotating PDF documents, inserting Pages to PDF documents and modifying PDF files using Image Editor window will now be possible. We have also fixed some bugs in this update.

What’s New:
  • Display of PDF files using Foxit software
    PDF files are now displayed in Globodox using PDF display technology licensed from Foxit (who make one of the fastest PDF readers in the market)
  • Compression available for few file types
    You can now control the compression of few file types (like tiff and jpeg ) files by using the Settings option available for  File Types in the Scan window.
Bugs Fixed:
  1. Fixed: PDF files are now loaded quickly.
  2. Fixed: inserting pages to PDF files which were not created using Globodox.
  3. Fixed: Modifying PDF files which were not created using Globodox.

ITAZ Technologies licenses PDF display technology from Foxit Software

Search for Folders and Tags

We know how difficult it gets to search for folders especially when you have hundreds of them. So to save your time, we have introduced a new feature (in Version 5.0.1.3) which will allow you to search for Folders as well as Tags.

For example, if you want to search for a particular client say “Acme Corp.”, ideally you would have to scroll through the whole list of folders and find it out. But now you just need to press “Ctrl+J” on your keyboard and a box will pop-up, using which you can search for Folders and Tags.

This is how it works…

  1. Press Ctrl + J . This will launch the Jump To… dialog. (You can also launch the Jump To… dialog via the Right click on a Folder/Tag)
  2. Enter the first few characters of the Folder/Tag that you want to search for.
  3. The list of Folders/Tags will be listed in the dropdown.
  4. Select the necessary Folder/Tag and hit the Enter key on the keyboard.
  5. The Folder/Tag will now be selected in the Workspace node.

Globodox v/s Sohodox

We have been getting a lot of queries lately where people are asking us the difference between Globodox and Sohodox. So, we decided to clear your confused mind by writing this post. Here we go…

Globodox is an enterprise grade document management software. It contains all the advanced document management features such as versioning, check-In and checkout and audit trail etc. It also contains a full range of security features that allow, deny and control user access to documents and other information. It also supports MS Access, MS SQL and My SQL DBs. MS SQL Server or MySQL based DB ensures good performance even when a large number of documents and users are involved.

Sohodox is an entry level document management software. It does not contain advanced document management features as well as advanced security features. Basic security is available via public/private folders. It supports only MS Access DB. Sohodox is ideal for use by 1-10 users with up to 100,000 (one hundred thousand) documents.

Globodox is more powerful compared to Sohodox. If your office generates lots of documents then we would suggest you to use Globodox.  If not then you can use Sohodox. Please note that Sohodox users can at any time upgrade to Globodox by paying the difference plus a very small processing fee.

Problem while viewing large PDF files

We have been informed by some of our customers that, while viewing large PDF files (using internal viewer) the system freezes for a few seconds, before displaying the file. We are currently working on this and if everything goes on smoothly then we will be releasing an update in the next fifteen days. This update will enable both Globodox and Sohodox to handle PDF files very well.

To temporarily fix the problem, you can switch the PDF viewer to the Adobe Viewer. For this…

  1. Click the Globodox/Sohodox button (the round icon on the top left corner) and select the Options option.
  2. In the Use built-in PDF viewer for section choose the None (show all PDF files in the associated viewer) option.
  3. Click the OK button to save the changes.

This should fix the problem for now. Keep visiting our Web site to check for updates or just follow our blog.

Sohodox released!

We have just released Sohodox, our document management solution for small offices and small project teams. Sohodox supports the use of folders, tags and document types for indexing/organizing documents. Sohodox is multi-user, stores it’s data in a MS Access based DB and features a simplified security model based on public and private folders.

Sohodox offers an easy upgrade path to Globodox in case your document volume or number of users goes up.

Existing users of doQuments Professional Edition will be able to upgrade to Sohodox as soon as the upgrade utility is available (around 1-2 weeks time).

Sohodox release delayed

After the Globodox 5 release last week, we realised that we must simplify our release process. It’s just too complicated at the moment.  We have decided that this must be done before releasing Sohodox. This means that the Sohodox release may get delayed by some time. We now expect to release Sohodox by November 6 2008.

Simplification of the release process will ensure that our response times  - when releasing bug fixes etc. - will remain as fast as what our customers are used to.
